Data Protection is an integral part of the Company’s business practices and Bournemouth Coastal BID is committed to protecting your personal information, whether you are a business contact; a customer or prospect interested in our services; an employee or freelancer or a supplier of Bournemouth Coastal BID.
Bournemouth Coastal BID Ltd., referred to in this policy as “we”, “us” or “our”, are pleased to provide information to all of our customers about our online privacy policy. Please be assured that we use our best efforts to protect the privacy of visitors to our online services.

1. Types of Information We Collect and How It Is Used
We only gather personal information, such as first and last names, addresses and email addresses, when voluntarily submitted by you. For example, personal information may be collected from you when you register on any of our websites, give your feedback on our websites and our products or enter one of our online prize promotions.

2. Sharing of Personal Information
We may share personal information within the Coastal BID System; by this expression, we mean Bournemouth Coastal BID Ltd. and certain selected companies.
Those selected companies are either our partners who perform a function such as prize-provision within our promotions and offers, or are agencies and suppliers whom we have retained to assist us to more effectively fulfil orders, manage and conduct promotions and offers, provide technical assistance and support and perform other functions to support our marketing activities. Also included are third party delivery companies we work with to deliver our food to customers.
All selected companies may have access to personal information if needed to perform such functions, but will only be permitted by us to use such personal information for the purpose of performing that function (which may include one to which you have expressly given your consent) and not for any other purpose.
In all cases, any use of your personal information by the Coastal BID System which use has been instigated by us (as opposed, for example, to a promotional partner), will comply with this policy and with data protection legislation.
Occasionally, with your permission and depending on the purpose for and context in which you gave that permission, we will send marketing information and news to you, for example, relating to new product offerings, loyalty schemes and clubs, discount coupons and other promotions and offers. This may include our sending to you marketing information for the products or services of a promotional partner on that partner’s behalf.
However, in every case, if you do not elect to receive such communications or if you elect to discontinue receiving them, then we will not send or will cease sending them to you. Also, we reserve the right to use or disclose any information as needed to satisfy any law, regulation or legal request, to protect the integrity of the site, to fulfil your requests, or to cooperate in any law enforcement or regulatory investigation. Save for this, we do not sell, transfer or disclose personal information we have collected from you in connection with our website activities, to third parties outside the Coastal BID System.
Please note that if we are a promotional partner of an unrelated company, for example where we are not asking you to submit any personal information to us but are simply providing information on our site and may be a link to the other company’s website where one must visit to take part in that company’s promotion, offer or other activity, then the privacy policy of that other company will apply instead of ours.
Whilst we make every effort only to tie-in with reputable companies which have a similar high regard for your privacy, you should make sure you are aware of what their policies say, as we are not responsible for the policies and practices of other companies, including those of other members of the Coastal BID System.
Please note that all of our BID levy paying businesses are third parties. As such, if your complaint, enquiry, suggestion or praise relates to a third party business your personal details may be forwarded to the third party business to record and investigate the incident, to provide a response and for general record-keeping purposes.
We may transfer the data that we collect from you to a destination outside the European Economic Area (“EEA”). By submitting your personal data to us, you agree to this transfer, storing or processing.
3. Our Privacy Policy Regarding Children
We are very sensitive to privacy issues. We are proud of our long time commitment to our customers. We are especially careful in any communications with one of our most treasured types of customer – children.
Our policy is not to collect personal information from any child under 12 unless for a specific activity where the child’s parent or guardian has first written to us with that parent’s or guardian’s consent to that specific activity.
We collect only limited personal information from children under 14 (like their email addresses) to respond to their online communications. For example, we may collect a child’s email address in order to send the child a screen saver, but we promptly delete the email address from our system. Or, we may collect a child’s email address in order to enter the child in an online activity such as a prize promotion and to send them further but limited online communications that they have opted to receive. We will not collect (nor encourage any child to give) more detailed information, such as a postal address or a telephone number, than is needed by us to facilitate that child’s selected activities, without first obtaining the written consent of a parent or guardian.
Our policy is that our online activities will not generally involve the publishing of any personal data relating to a child under 14 on any of our websites, but if there is any specific occasion where publication is proposed then this will not take place unless that child’s parent or guardian has written to us with their specific consent to the proposed publication and then only after there has been pointed out to the parent or guardian the possible consequences of such a publication.

B. BUSINESS CONTACT INFORMATION
1. We may hold business contact data if you are a decision maker in an organisation that is someone who arranges services and projects for our company, so that we are able to speak to you about Bournemouth Coastal BID and its requirements and / or offerings. This data would have been supplied directly to us by you and is held on a central database to enable us to manage and monitor contact preferences. Your data can only be used where the potential opportunity with Bournemouth Coastal BID might be relevant to you in your professional capacity.

2 The personal data we hold centrally is your name, job title, company and contact details, including your preferred email address and telephone number where supplied.

C. FREELANCERS & CONTRIBUTORS
1. As a BID, freelancers and contributors are engaged to provide various outsourced services across all our brands and events, and as such Bournemouth Coastal BID needs to keep and process information about you for management and administrative use only. Bournemouth Coastal BID will securely store it and use it to enable us to run the business and manage our relationship with you effectively, lawfully and appropriately.This will commence from the beginning of the freelance agreement, throughout the duration of the freelance agreement and after the agreement has ended.
2. This will include using information to comply with the freelance agreement, comply with any legal requirements, pursue the legitimate interests of the company and protect our legal position in the event of proceedings.
3. All of the information we hold will have been provided by you. The sort of information we hold on you includes your name, address and contact details, freelance agreement details and bank details.
4. The legal basis for processing your data is ‘contract’ whilst you are engaged as a freelancer/contributor and sometimes ‘legal requirement’ in case of certain records.
5. We do not use your personal data for any automated decision making or profiling.

D. JOB APPLICANTS
1. We hold information about job applicants to enable us to contact you.

2. The personal information we hold will have been provided by you and will be your name, address, contact information, current and previous job details.

3. The information is only disclosed to those key staff involved in the recruitment process for the job you have applied for.

4. We will retain information on all applicants for a maximum period of 6 months, in line with recommended minimum retention periods; unless you have specifically requested we hold your details for future job opportunities.

5. Any data received through pre-employment checks that results in a withdrawal of job offer will be securely destroyed.

E. SUPPLIERS
1. We hold information about suppliers to enable us to contact you.
2. The personal information we hold is your name, job title, and maybe your work email address.
3. We will continue to hold your personal details for two years after your last invoice with us. After which we will either delete your personal data or keep it because you have asked us to.
4. This information is only disclosed to employees of Bournemouth Coastal BID and contracted processors. For example, this may be an agency who sends mail for us. It is possible we might need to disclose this information for legal purposes.
5. The legal basis for processing your data is ‘contract’ while we are your customer. When you are no longer active supplier, it is ‘legitimate interest’ because we may want to order from you again.
6. Your rights concerning your personal data are:

• We will update the personal data to correct errors when you tell us about them
• We will supply you with an electronic copy of the personal data we hold about you if you ask us to
